The real power of Jobsite Analytics lies in its ability to automatically calculate Fleet Cost, Labor Cost, and Fuel Cost to generate accurate Job Costs for each job performed at a jobsite. Instead of relying on spreadsheets or guesswork, you unlock a more efficient and data-driven way to understand profitability and bid future contracts with confidence and the margins you need. To set up your Job Costing, please follow the steps below:
1. Set Up Fleet Maintenance
To accurately calculate your fleet’s maintenance cost, the system uses historical and upcoming service data across each vehicle’s lifecycle.
Please complete the Fleet Maintenance setup by following Setting up Fleet Maintenance - Create a Service Schedule
2. Set Up Fleet Financials
To include depreciation cost and fuel cost in your job costing, you must first input each asset’s financial data.
Complete the Fleet Financials setup using How can I add my asset financials for use in Job Costing and Fleet Maintenance?
3. Set Up Employee Management
Labor costs are calculated based on employee wage, burden rate, and on-site and travel hours. To make this process accurate and automated:
- Set up your employees in the Employee Management module.
- We recommend enabling CrewID, which will automatically track labor hours based on proximity to the asset.
Follow How to add an Employee? to set up Employee Management.
Once the above modules are in place, you're ready to create a Jobsite and begin capturing job-level cost data. Here’s how:
(1) Click “Operations” on the top menu bar, then select “Jobsites”.
(2) Click “Add Jobsite” at the top right.
(3) Enter the Jobsite Name, Start Address, and Arrival Time.
- The Start Address helps estimate travel time and cost.
- We recommend entering your office address if your fleet departs from a central yard.
- If drivers take vehicles home, you can update this later for more accurate estimates.
(4) Use the “Draw” button to draw a geofence around the jobsite area.
- This will define the boundaries of the jobsite.
- You won’t be able to proceed until a geofence is drawn.
Click “Next” when finished.
(5) On the Monthly Budget screen, enter:
- Number of Visits
- Labor Hours
- Other Costs ($)
- Revenue ($)
Your inputs will be combined with your fleet maintenance, asset financials, and labor data to calculate the estimated job cost and profit.
Tip: After entering a value in the first column, click the arrow icon to auto-fill the remaining months with the same value.
(6) You’ll see a confirmation that your Jobsite has been successfully created. Click “Close”.
(7) Your new Jobsite will appear on the list with a “Processing” label.
- This usually takes less than 30 minutes.
- After processing, it will update to one of the following statuses:
a. Active - One or more assets are currently on the job site.
b. Pending - No jobs have ever been recorded at this jobsite.
c. No Status - The jobsite is inactive, meaning no assets are currently inside the jobsite.
Once your jobsite is active, you’ll be able to track:
- Visit history
- Labor hours (with timestamps)
- Average Travel Time
- Financial Information including Fleet Cost, Labor Cost, and Profit/Loss
- Budget Difference
All in one centralized dashboard.
